Five checks before using transactions extracted from a PDF bank statement

A practical checklist for accounting firms and bookkeeping teams.

1. Confirm the statement period

Compare the opening and closing dates. An overlapping or incomplete period can create duplicate or missing transactions.

2. Check debits and credits

Review signs, refunds, transfers and card payments. A reversed amount can change the account balance materially.

3. Compare dates and descriptions

Spot-check the extracted dates, narratives and references against the original PDF, especially when similar transactions recur.

4. Reconcile the arithmetic

Compare opening balance, movements and closing balance when provided. Investigate unexplained differences before exporting.

5. Record exceptions

Keep a list of unclear, incomplete or unresolved rows. Do not treat unchecked extraction output as finalized books.
